Air Carrier Maintenance

 

Overview

The Air Carrier Maintenance database maintains information about the airlines that transport your shipments to their destination. 

Note:  The Stack button, at the bottom of the screen, leads you to the Air Carrier Stack Maintenance screen. [For more information about this screen, refer to Air Carrier Stack Maintenance.]

 

Pre-requisites

You must build the following maintenances for each airline before you can build Air Carrier file information:

  1. Vendor Account
  2. Customer Account
  3. Air Messages

 

Procedure

To build or maintain Air Carrier file information, complete the following fields.

 

Field Name

Data Entry

Description

Carrier

Enter the 2-digit alphanumeric airline code.

This is the international airline code.

Carrier Code

Enter the 3-digit carrier code.

This is the code that corresponds to the IATA (International Air Transport Association) code for the airline.

Name

Enter the name of the airline.

This name is for verification purposes. When you enter the air carrier code, this name will display.

Print Address 1

Enter the first line of the Carrier’s address.

Typically, the first line of the address includes the number and street. This address prints on the air waybill.

Print Address 2

Enter the second line of the Carrier’s address.

Typically, the second line of the address includes the city, state or country, and the postal code. This address prints on the air waybill.

Print Address 3

Enter the third line of the Carrier’s address.

Typically, the third line of the address is reserved for longer addresses. This address prints on the air waybill.

Account Number

Double-click in the field to select a Customer account number from the lookup table, or enter an account number for this airline.

Note:  If this airline reports airline sales (i.e., CASS reporting), enter the CASS code as the account number.

This is the account number you assign to the airline. [For more information, see Customer Maintenance.]

Message

Double-click in the field to select a message from the Messages lookup table, or enter a new message for this airline.

Note:  Select the arrow to the right of this field to see the message in its entirety.

The message field is for any messages associated with this carrier.

The first line of the message prints on all air waybills for this carrier (i.e., in the same box as the cargo description).

Minimum AWB Qty

Enter a minimum AWB quantity.

This field allows you to identify the minimum number of remaining air waybills you will have in stock, when Alliance notifies you to obtain additional numbers from the airline.

Note:  When you reach the specified quantity, the airline will be included in the Below Minimum AWB Quantity list. You can display this list using the Minimum Quantity option from the AWB# Control menu. The system will also warn you that you are getting low on air waybills the next time you select an AWB # for that airline.

AWB Account No

Enter the air waybill account number.

This is your account number with the airline. The airline’s accounting department typically assigns this account number. This account number prints in the Account No. box on the Master air waybill.

Check Digit

Select this box or leave it blank.

 When you select the Check Digit box, Alliance will not let you enter an invalid master air waybill number.  It will verfiy the number using a check digit calculation to assure that you assign only valid master air waybill numbers to shipments.

Vendor Code

Double-click in the field to select a Vendor code, or enter a vendor code for this airline.

Note: The vendor code must be set up in advance.

This is the vendor code you assign to this airline. [For more information on vendor codes, see Vendor Maintenance.]

Branch Dependent

Select this box or leave it blank.

This field indicates whether this record is associated with a specific branch. If you are using the Stack option, this field lets you distribute the master air waybill numbers received from an airline, according to the branches in your company. If you select this box and a new shipment is processed, Alliance automatically allocates the next available air waybill number appropriate to the specific branch.

Blocked

Select this box or leave it blank.

This field enables/disables this record from being used for a shipment.

Stack Option button

Select this button to open the Air Carrier Stack Maintenance Inventory Details screen.

The Air Carrier Stack Maintenance Inventory Details screen is where you can enter the air waybill numbers received from the airline.  [See Air Carrier Stack Maintenance screen below.]

OK or Cancel

Select OK to update the changes you have made.  Select Cancel if you would like the system to disregard any changes you have made.

Selecting OK or Cancel will close the window.

Overview

The Air Carrier Stack Maintenance database lets you maintain air waybill numbers received from the airline. When you receive master air waybill sequences from the different airlines, you can enter them into this program.

Once your airline air waybill inventory is updated, Alliance will automatically assign the next available number to each master air waybill for that airline.

Note:  If the file is not branch dependent, the stack is set up with the non-branch code.

 

Procedure

To build or maintain air waybill inventory information, complete the following fields.

STACK button

Click on the STACK button on the Air Carrier Maintenance screen to access the Inventory Details screen.

The Air Carrier Stack Maintenance Inventory Details screen displays.

First Number

Enter the first air waybill number in the sequence received from the airline.

Note:  If you selected check digit enter 7 digits (the system will determine the 8th digit).  If you did not select check digit, enter all 8 digits.

This is the first number in the stack of air waybill numbers. 

Last Number

Enter the last air waybill number in the sequence received from the airline.

This is the last number in the stack of air waybill numbers.

Next

The first time you build this maintenance, enter the first air waybill number.

Note:  Once you enter the first air waybill number, this becomes a display only field.

This box displays the next available air waybill number.

Stack Status

No data entry required.

 

Note:  This is a display only field.

This is the status of the stack of air waybill numbers.

Potential stack statuses are:

·         IN USE – stack has been started

·         ENDED – stack has finished

·         NEW –stack is new; hasn’t been used yet

·         BLOCKED – stack has been blocked

Blocked

Select this box or leave it blank.

This field enables/disables this record from being used for a shipment.

OK or Cancel

Select OK to update the changes you have made.  Select Cancel if you would like the system to disregard any changes you have made.

Selecting OK or Cancel will close the window.
